How does a poster work in this new virtual format? Our poster will not fit in the spaces provided. To be clear, this year you are NOT creating a traditional poster. This year, you can think of the virtual exhibition more as a tradeshow. Instead of presenting your research in poster format, you can create images to be placed on your virtual booth that then redirects attendees to a page you created on your website containing the scientific information you would have printed on a poster.
What measurement/size types are my graphics supposed to be in – inches, centimeters, etc.? Please note your template refers to pixels.
We are trying to create the images for our ad spaces on our booth and they are so incredibly small that text cannot be read on them. Are these the correct sizes? Yes, the dimensions are correct. Please note that most of our attendees will experience the lobby, exhibit hall and your booth in particular in an expanded version (Full Screen). However, if you are worried about text legibility, I suggest you limit the amount of text on your image(s).
What is the deadline for uploading graphics and content? Please have your booth finalized by December 6th.
For the video upload, is there a specific size/length limitation? There is no specific length limitation. We just require the video to be in mp4 format and under 1GB file size. However, I’d say your video should NOT be anything longer than 90 sec. Think of this as a commercial/sales pitch to attendees. You want to grab attendees attention quickly. A long video won’t do that .
For document upload, what should I upload… my poster? This can be anything you deem valuable and want attendees to take with them. This does not have to be your poster, it can be a marketing pamphlet, brochure, white page, anything in pdf form.
Can my company’s staff answer questions from attendees on the booth chat without being registered at the conference? No. Only registered Annual Meeting attendees can be your booth’s Admin/User. If you need more Users at your booth, that exceed the number of complimentary registrations provided, then you will need to purchase more at the current rate. You or your colleagues can register for the virtual Annual Meeting here .
- If they are not interested in attending the scientific sessions and just looking to help out in the virtual exhibition, they can purchase a SHOWCASE ACCESS registration.
- If they wish to attend any of the scientific sessions and help out in the virtual exhibition, they can purchase a FULL ACCESS registration.
What does an “Exhibitor Upgrade” mean and how much does it cost? As an exhibitor, you receive complimentary SHOWCASE ACCESS registrations into the virtual exhibition hall (these registrations are restricted to that area only and will not allow you in to scientific sessions). If someone from your company, who received the complimentary registration, wishes to attend any of the scientific sessions then they can pay a discounted rate to gain access. So they will, essentially, be upgrading their registration from SHOWCASE ACCESS to FULL ACCESS. Current rates to upgrade:
- SCC members: $246.45
- SCC Student/Junior members: $63.60
- Emeritus members: $124.55
- Nonmembers: $294.15
What times should my company’s booth reps be available in our booth? The exhibition hall will be open for 5 days – during the event. Of course we do not expect your rep to “stand” at your booth all day for all five days. We did however create specific times allocated to the virtual exhibition – where no other event/activity is taking place. I would suggest creating a sort of “office hours” and ensure someone is at your booth during these times.

How could we track booth traffic? If someone just browsing, can we track him or her? You can view all attendees currently visiting your booth by looking at the "Online Users" to the right of your booth's chatroom.
How do we make appointments with potential clients? You will not be able to schedule meetings in advance on the virtual platform. You will be able to make and accept one-to-one audio calls, video calls and chat with attendees in a text box or a chat room. If you need to schedule meetings in advance, it might be best to schedule them on another platform – via icalendar, Microsoft Teams, Zoom, etc.
Will I receive a transcript of my booth’s chat conversations? You have access to your booth up to 90 days after the event, including your chatroom. After those 90 days, the event will be archived. If you need information form your booth during within those 90 days, you should grab all that you can. When those 90 days are up, we can provide you with your booth’s chat logs but at a nominal fee.
Will I be notified when a new message comes in at my booth? You will not be notified when a new message is posted to your group. However, you will be able to see all messages, including old messages.
Does the platform work on mobile devices? It works best on pc and tablets. Phones make interactions and engagement a bit more difficult.
Can I brand my booth’s chatroom background? Unfortunately no. One minor way you can brand your booth’s chat is by changing the color of you outgoing responses.
Can I see how many people have downloaded my documents or watched my videos? You will not see this information in real time but when the event is over, this information will be provided in your booths report.
Can I share my screen during a chat at my booth? No you cannot while in your booth’s chatroom. We suggest you setup a time with an attendee to use another service like Zoom or Microsoft Teams to do this.
Can I change my booth’s content (image, document, videos, etc.) on the day of the event? While you can update your booth’s content at any time, even during the day of the event, it is highly recommended that you have your booth finalized by December 6 th (the day before the event). The staff at SCC Headquarters will be focused on the conducting the event’s LIVE scientific sessions, dealing with any technical issues that may arise, answering general questions, etc. Your booth will experience delays on all updates. Should you absolutely need to update your booth during the live event, please email Latasha Archer ( larcher@scconline.org) right after you have made the change. At her earliest convenience, she will clear the cache on the backend and make sure your booth has been updated.
